PDF/A Archiving: Conversion Versus Validation

Why claiming PDF/A compliance requires profile-specific independent checks.

Does saving a PDF as PDF/A prove it is compliant?

No. A conversion output needs validation against the intended PDF/A conformance level and version.

What PDF/A aims to preserve

PDF/A is an archival family of PDF standards intended for long-term reproducibility, with constraints on fonts, color information, dependencies and other document features.

Converting is not certifying

A PDF producer may request archival settings, but only suitable validation can identify whether required conditions are actually satisfied.

Keep original files for comparison

Compare page count, appearance, attachments, text extraction and metadata. Preserve the original version when retention policy allows.

Current platform status

PDF Workroom does not currently publish a certified PDF/A converter or conformance validator. Our structure checker is diagnostic and cannot make PDF/A compliance claims.

Questions and answers

Can a PDF structure checker certify PDF/A?

No. Generic structural checks do not cover all profile-specific PDF/A requirements.

Can scanned documents be PDF/A?

Potentially, if the final document meets all relevant PDF/A conditions; OCR alone does not ensure compliance.
